Privacy Policy
This policy explains what personal data we collect when you sign up to our mailing list via pink-matter.co.uk, how we use it, who we share it with, and what rights you have under UK data-protection law.
1. Who we are
PINK MATTER LTD (“Pink Matter”, “we”, “our”, “us”) is a limited company registered in Scotland, company number SC870294. Our registered office is at 1 Stoneybank Drive, Musselburgh, EH21 6TB, Scotland, United Kingdom. You can reach us at hello@pink-matter.co.uk.
We are the data controller for the personal data we collect through this website.
2. Scope
This policy covers personal data collected through the sign-up form on pink-matter.co.uk. It is written to meet our obligations under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003 (PECR).
3. What data we collect
We collect your email address, submitted voluntarily through the sign-up form. That is the only personal data we knowingly collect from you.
If you opt in via the cookie banner, Google Analytics also records anonymised behavioural data about your visit — see §9 below for detail. We do not collect names, phone numbers, payment information, or use advertising cookies.
4. Why we collect it (our lawful basis)
We rely on your consent (UK GDPR Article 6(1)(a), and PECR for electronic marketing) to process your email address for the purpose of sending you marketing communications about our products, services, and related content.
When you click “Put me on the list” on pink-matter.co.uk, you are giving explicit consent to:
- The storage and processing of your personal data by PINK MATTER Ltd.
- Receiving marketing communications from us by email.
You can withdraw your consent at any time — either via the unsubscribe link in any email we send, or by contacting hello@pink-matter.co.uk. Withdrawing your consent does not affect the lawfulness of processing carried out before the withdrawal.
5. How long we keep it
We keep your email address for as long as you remain subscribed to our marketing communications. If you unsubscribe or ask us to delete your data, we will remove your email from our active marketing list promptly and from our records within 30 days — except that we retain a minimal suppression entry (your email address flagged as opted-out) so that we do not accidentally contact you again after you have opted out.
6. Who we share it with
We use HubSpot, Inc. (2 Canal Park, Cambridge, MA 02141, USA) as a data processor to store your email on our behalf. HubSpot processes it only to deliver the launch-day email. HubSpot is certified under the UK Extension to the EU–US Data Privacy Framework, and our transfers are additionally covered by Standard Contractual Clauses (SCCs) with the UK Addendum.
We do not sell, rent, or otherwise share your email with any other third party.
7. International transfers
Your email may be transferred to, and stored on, servers outside the UK — primarily in the EU and the United States — by HubSpot. Appropriate safeguards (SCCs + UK Extension to the EU–US Data Privacy Framework) are in place so the protection of your data is equivalent to that required by UK GDPR.
8. Your rights
Under UK data-protection law you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data (the “right to be forgotten”).
- Restrict or object to our processing.
- Portability — receive your data in a machine-readable format.
- Withdraw consent or unsubscribe at any time.
- Complain to the Information Commissioner’s Office (ICO).

9. Cookies and tracking
This site uses a single, optional third-party service for analytics — Google Analytics 4 (provided by Google Ireland Ltd). It is off by default and only loads if you click “Accept” on the cookie banner shown on your first visit. If you click “Decline,” no Google tags are loaded and no analytics cookies are set.
If you accept, Google Analytics sets cookies (typically _ga and
_ga_<id>) to give each browser a pseudonymous ID and records anonymised data
such as page views, referrers, approximate geographic region (country/city level), and device
type. IP-address anonymisation is enabled. We do not use Google Ads, remarketing,
cross-site tracking, or user-level identifiers.
You can change your mind at any time by clicking “Cookie preferences” in the footer of either this site or the home page — this re-opens the consent banner so you can accept or revoke.
We also load web fonts from Google Fonts. Your browser fetches the font files directly from Google, which means Google may log your IP address for that request. No cookies are set as a result of the font request. See Google’s privacy policy for details. We do not use any other third-party trackers on this page.
10. Security
Your email is stored with HubSpot, which maintains industry-standard security controls including encryption in transit (TLS) and at rest, and SOC 2 compliance. No transmission over the internet is 100% secure, but we take all reasonable and proportionate steps to protect your data.
11. Children
This site is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has submitted their email, contact hello@pink-matter.co.uk and we will delete it.
12. Changes to this policy
If we make material changes we will update the “last updated” date above. If the changes affect how we process your email, we will notify you by email before the change takes effect.
